Privacy Policy

How KanbanBot handles personal data for the United States web, Telegram, AI-assisted, analytics, and collaboration experience.

Effective date: May 12, 2026. This Privacy Policy applies to KanbanBot's English-language service experience in the United States, including the web app, Telegram integration, AI-assisted features, analytics, and related services.

1. Overview

This Privacy Policy explains how KanbanBot collects, uses, discloses, and protects personal information when you use KanbanBot.online, the web application, Telegram bot features, AI-assisted features, task boards, collaboration tools, and related services (collectively, the "Service").

By using the Service, you acknowledge that your information will be handled as described in this Privacy Policy. If you do not agree, do not use the Service.

2. Information we collect

Information you provide

  • account and contact information, such as name, email address, Telegram username, Telegram ID, profile information, and support messages;
  • workspace, board, task, checklist, comment, label, deadline, assignee, prompt, and other content you create or invite others to create;
  • voice input or transcribed content when you use voice-related features through Telegram or other supported channels;
  • billing and transaction details if paid features are offered, while full payment card data is typically processed by payment providers.

Information collected automatically

  • device, browser, IP address, approximate location derived from IP, operating system, language, referring URL, pages viewed, and interaction events;
  • cookies, local storage, session identifiers, analytics identifiers, and similar technologies;
  • service logs, security logs, error reports, usage limits, and diagnostic data.

3. Sources of information

We collect information directly from you, from your browser or device, from Telegram when you use Telegram features, from teammates or collaborators who invite or mention you, and from service providers that help us operate the Service.

4. How we use information

We use information to:

  • provide, maintain, personalize, and improve the Service;
  • create, sync, display, search, and update boards, tasks, comments, and notifications;
  • enable Telegram integration, collaboration, invitations, and shared boards;
  • operate AI-assisted and voice-related features;
  • respond to support requests and communicate about the Service;
  • monitor usage, debug errors, maintain security, prevent fraud, and enforce our Terms;
  • measure performance, understand feature usage, and improve marketing and product decisions;
  • comply with legal obligations and protect rights, safety, and property.

5. How we share information

We may share information with:

  • collaborators you choose, such as teammates or invited users who can view or interact with shared boards;
  • service providers, including hosting, infrastructure, analytics, customer support, email, security, AI, transcription, and payment providers;
  • Telegram and integration providers when you use bot, messaging, notification, or account-linking features;
  • legal and safety recipients if required by law, legal process, government request, or to protect rights, security, users, or the public;
  • business transfer recipients in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets.

We do not knowingly sell personal information for money. We also do not knowingly share personal information for cross-context behavioral advertising as those terms are used under California privacy law. If our practices change, we will update this Privacy Policy and provide required choices.

6. Google Analytics

We use Google Analytics to understand how visitors use KanbanBot.online and to improve the Service. Google Analytics may collect information such as pages viewed, device and browser data, approximate location, referring pages, and interaction events through cookies or similar technologies.

You can learn more about Google's data practices at Google's partner sites policy. You may also use Google's available browser add-on or your browser settings to limit analytics cookies where supported.

7. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, receive a copy of, or restrict certain uses of your personal information. You may also object to certain processing or withdraw consent where processing is based on consent.

To make a privacy request, contact us at support@kanban.online. We may need to verify your identity or authority before fulfilling a request. You can also manage some information directly through the Service, Telegram settings, browser settings, or account controls where available.

8. California and U.S. state privacy notices

If you are a California resident or live in another U.S. state with applicable privacy rights, you may have additional rights, including the right to know categories of personal information collected, sources, purposes, categories of recipients, access specific pieces of information, delete information, correct inaccurate information, opt out of certain sharing or sales, and not be discriminated against for exercising privacy rights.

In the last 12 months, we may have collected the categories described in this Privacy Policy, including identifiers, internet or electronic network activity, commercial information if paid features are used, approximate geolocation, audio or voice-derived information if you use voice features, and user-generated content. We use and disclose these categories for the purposes described above.

We do not knowingly sell personal information or share it for cross-context behavioral advertising. We do not knowingly collect or process sensitive personal information for the purpose of inferring characteristics.

Some browsers or extensions may send Global Privacy Control or Do Not Track signals. Because there is no single industry standard for Do Not Track, the Service may not respond to all DNT signals. Where required by applicable law and technically feasible, we will honor recognized opt-out preference signals.

9. Retention

We retain information for as long as needed to provide the Service, maintain records, resolve disputes, enforce agreements, comply with legal obligations, prevent abuse, and support legitimate business needs. Retention periods vary based on the type of information, account status, feature use, backup cycles, and legal requirements.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no online service, transmission, or storage system is completely secure. You are responsible for keeping your devices, Telegram account, links, and credentials secure.

11. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information, contact us at support@kanban.online so we can take appropriate steps.

12. International transfers

The Service may be operated from, and information may be processed in, countries other than where you live. Those countries may have data protection laws different from your jurisdiction. Where required, we use appropriate safeguards for cross-border transfers.

13. Changes and contact

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date. If changes are material, we will provide notice where reasonably practical.
