Effective date: May 20, 2026. These Terms of Service govern use of the KanbanBot South Africa service experience, including KanbanBot.online, the web app, Telegram integration, AI-assisted features, collaboration tools, and any related services.
1. Acceptance
By accessing or using KanbanBot, you agree to these Terms. If you use the Service for a company, team, school, client, or other organisation, you represent that you have authority to bind that organisation or that you are using the Service only in your personal capacity.
If you do not agree to these Terms, do not use the Service. Additional feature terms, plan terms, privacy notices, or third-party terms may apply to specific integrations or functionality.
2. The Service
KanbanBot provides online boards, task cards, statuses, deadlines, comments, checklists, assignment, Telegram access, AI-assisted task creation, sync, and related workflow tools. Features may change, be limited, be suspended, or be discontinued as the product evolves.
We may provide free, trial, beta, or experimental functionality. These features may be changed or withdrawn at any time and may have reduced support, availability, retention, or reliability.
3. Accounts and eligibility
You must provide accurate information, maintain account security, and use the Service only if you can lawfully enter into these Terms in South Africa. You are responsible for activity under your account, workspace, Telegram account, invite links, and credentials.
Do not share access in a way that violates these Terms, bypasses plan limits, compromises security, or allows unauthorised users to access confidential board content.
4. User content and workspace data
You retain ownership of content you submit to boards, tasks, comments, prompts, checklists, files, and messages. You grant KanbanBot a worldwide, non-exclusive, royalty-free licence to host, store, process, transmit, display, modify, and use that content only as needed to operate, secure, support, analyse, and improve the Service.
You are responsible for ensuring that user content is lawful, accurate, appropriate, and authorised. Do not place sensitive, regulated, illegal, harmful, confidential, or third-party personal data into the Service unless you have all rights, notices, permissions, and safeguards required by law.
5. Acceptable use
You must not misuse KanbanBot, attack or disrupt the Service, attempt unauthorised access, scrape at scale, reverse engineer protected components, bypass limits, send spam, upload malware, infringe rights, harass others, impersonate anyone, or use the Service for unlawful or high-risk purposes.
We may remove content, restrict access, suspend accounts, block integrations, or take other action when we reasonably believe use is illegal, unsafe, abusive, security-sensitive, harmful to the Service, or inconsistent with these Terms.
6. AI features and third-party services
AI-generated suggestions, boards, tasks, summaries, and other outputs may be incomplete, outdated, biased, or inaccurate. You are responsible for reviewing outputs before relying on them. Do not use AI outputs as the sole basis for legal, medical, financial, employment, safety, or other high-impact decisions.
Telegram, hosting, analytics, payment, AI, and other third-party providers may have their own terms, privacy notices, service limits, outages, and account rules. KanbanBot is not responsible for third-party platforms or their independent processing, availability, security, or decisions.
7. Plans, payments, and taxes
Core features may be offered free, and paid plans may be introduced or changed. Prices may be shown in ZAR or another supported currency. Unless stated otherwise, fees are exclusive of taxes, duties, bank charges, platform fees, and currency conversion costs.
Subscriptions renew until cancelled according to the plan terms. Payments are non-refundable except where required by law or expressly stated. We may change features, limits, prices, renewal terms, or billing providers with appropriate notice where required.
8. Consumer and statutory rights
Nothing in these Terms excludes, restricts, or modifies any rights, remedies, guarantees, warranties, or liabilities that cannot lawfully be excluded under mandatory South African consumer protection requirements. Where we may limit remedies by law, our liability is limited to the maximum extent permitted.
If you use the Service for business purposes, you agree that the Service is provided as a productivity tool and that you are responsible for backups, compliance, internal policies, and decisions made from board data.
9. Suspension and termination
You may stop using the Service at any time. We may suspend or terminate access, remove content, or limit functionality if you breach these Terms, create legal or security risk, fail to pay applicable fees, misuse integrations, or if continued service is no longer commercially, technically, or legally practical.
After termination, access to boards, messages, exports, and content may be unavailable. We may retain information as described in the Privacy Policy and as required for legal, security, backup, or accounting purposes.
10. Disclaimers
To the maximum extent permitted by law, KanbanBot is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted service, error-free operation, data availability, AI accuracy, specific business outcomes, or compatibility with every device, browser, Telegram account, or third-party service.
11. Limitation of liability
To the maximum extent permitted by law, KanbanBot and its owners, operators, affiliates, contractors, and providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, lost profits, lost revenue, lost data, loss of goodwill, business interruption, or substitute services.
To the maximum extent permitted by law, our total aggregate liability for claims relating to the Service is limited to the greater of the amount you paid to KanbanBot for the Service in the three months before the event giving rise to the claim or USD 100, unless a higher non-excludable amount is required by applicable law.
12. Governing law and disputes
Unless mandatory local law requires otherwise, these Terms are governed by the laws of South Africa, subject to any mandatory local rights. Courts or dispute bodies with mandatory jurisdiction under applicable law may still apply, especially for consumers.
Before starting a formal dispute, you agree to contact us at support@kanban.online and try to resolve the issue informally. We will do the same where practical.
13. Changes and contact
We may update these Terms from time to time. The updated version will be posted on this page with a revised effective date. Continued use after changes take effect means you accept the updated Terms.
