Terms of Service

The rules for using KanbanBot in United Kingdom: online boards, Telegram access, AI features, collaboration, and subscriptions.

Effective date: May 20, 2026. These Terms apply to the KanbanBot United Kingdom service experience, including the web app, Telegram integration, AI-assisted features, task boards, collaboration tools, free features, paid features, and related services.

1. Acceptance of these Terms

These Terms of Service ("Terms") govern your access to and use of KanbanBot, including KanbanBot.online, the web application, Telegram bot features, AI-assisted features, task boards, collaboration tools, and related services (collectively, the "Service"). By accessing or using the Service, you agree to these Terms.

If you use the Service for a company, team, client, school, charity, public body, or other organisation, you represent that you have authority to bind that organisation, and "you" includes that organisation. If you do not agree to these Terms, do not use the Service.

2. The Service

KanbanBot provides online boards for managing tasks, projects, to-do lists, workflows, events, workload, and related collaboration. The Service may be available through a browser, Telegram, and other integrations. Features may include board creation, task cards, comments, checklists, notifications, sharing links, AI-assisted generation, and voice input.

We may add, change, suspend, limit, or discontinue any part of the Service where reasonably necessary for security, maintenance, legal compliance, abuse prevention, technical operations, commercial reasons, or product development. We will not exclude rights that cannot be excluded under UK consumer law.

3. Eligibility and accounts

You must be at least 13 years old to use the Service. If you are under 18, you may use the Service only with appropriate involvement and permission from a parent, guardian, school, employer, or organisation responsible for your use.

You are responsible for your account, Telegram access, shared links, credentials, devices, workspace settings, and activity under your access. You must provide accurate information where required and keep access credentials secure.

4. Business users and consumer users

If you use the Service for business or professional purposes, you agree that you are acting as a business user. If you use the Service wholly or mainly for personal purposes, you may have mandatory consumer rights under UK law.

Nothing in these Terms limits rights that cannot legally be limited, including statutory rights under the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 where they apply.

If any provision of these Terms is found unfair or unenforceable for a consumer, the remaining provisions continue to apply to the maximum extent permitted by law.

5. User content and permissions

You retain ownership of boards, tasks, comments, prompts, voice-derived text, uploads, labels, checklists, and other materials you submit or invite others to submit ("User Content"). You grant KanbanBot a worldwide, non-exclusive, royalty-free licence to host, store, process, transmit, display, reproduce, adapt for technical purposes, and otherwise use User Content as necessary to operate, secure, support, improve, and provide the Service.

You are responsible for User Content and for ensuring that you have the rights, permissions, notices, and lawful basis needed to submit or share it. Do not submit unlawful content, confidential information, special category data, criminal offence data, health data, financial account data, payment card data, government identifiers, or third-party personal data unless you are authorised and the feature is appropriate for that use.

Shared boards may reveal User Content to invited users, workspace members, administrators, or anyone with an active sharing link. You are responsible for choosing collaborators and managing sharing settings.

6. Acceptable use

You must not misuse the Service. Prohibited conduct includes:

  • violating applicable law, third-party rights, platform rules, or these Terms;
  • uploading malware or attempting unauthorised access, scraping, probing, scanning, bypassing limits, or disrupting the Service;
  • using the Service for spam, phishing, deceptive activity, harassment, abuse, surveillance, unlawful discrimination, or harmful content;
  • reverse engineering, copying, framing, reselling, sublicensing, or exploiting the Service except as permitted by law or written agreement;
  • using automated methods to overload the Service or create accounts, tasks, requests, or traffic at abusive volumes;
  • submitting infringing, illegal, privacy-invasive, or security-sensitive content.

We may remove content, restrict features, suspend accounts, block access, preserve records, or report activity where we reasonably believe it is necessary to protect the Service, users, third parties, or legal rights.

7. AI, automation, and voice features

The Service may use AI, transcription, or automated tools to create task suggestions, board structures, summaries, labels, or other outputs. AI outputs may be incomplete, inaccurate, repetitive, unsuitable, or similar to outputs generated for other users.

You are responsible for reviewing, editing, and validating AI outputs before relying on them. Do not use AI outputs as professional, legal, medical, financial, employment, safety-critical, or regulated advice. We do not guarantee that AI outputs are unique, error-free, lawful for your use, or free from third-party claims.

8. Third-party services and integrations

The Service may interoperate with Telegram, hosting providers, analytics providers, AI providers, transcription providers, payment processors, email providers, and other third-party services. Your use of third-party services may be subject to their own terms, privacy policies, availability, limits, and platform rules.

We are not responsible for third-party services, outages, policy changes, security practices, data handling, content, or integration failures except to the extent required by applicable law.

9. Free features, paid features, payments, and cancellation

KanbanBot may offer free features and optional paid plans, subscriptions, add-ons, or usage-based limits. Plan features, prices, availability, taxes, and billing periods may change with notice where required by law.

If paid digital content or digital services are supplied immediately, you may be asked to consent to immediate supply and acknowledge that any statutory 14-day cancellation right may be lost once supply begins, where UK law permits this. If that consent or acknowledgement is required and not obtained, your statutory cancellation rights will apply as required by law.

Unless a separate refund policy or mandatory law provides otherwise, fees are charged in advance and are non-refundable for periods already started, usage already consumed, or digital features already supplied. If payment fails, a plan expires, or chargeback risk arises, we may limit or suspend paid features.

This section does not affect any non-excludable right to a remedy if paid digital content or services are not provided with the standard required by UK consumer law.

10. Suspension and termination

You may stop using the Service at any time. We may suspend or terminate access, remove content, or restrict features if you breach these Terms, create legal or security risk, misuse the Service, fail to pay amounts due, breach third-party platform rules, or if continued operation is no longer commercially, legally, or technically practical.

After suspension or termination, we may retain, export, anonymise, or delete User Content in accordance with our Privacy Policy, backup practices, legal obligations, dispute needs, security needs, and legitimate business records.

11. Disclaimers

To the maximum extent permitted by law, the Service is provided "as is" and "as available". We do not promise uninterrupted operation, error-free features, permanent availability, compatibility with every device or Telegram change, loss-free storage, or that every AI output, notification, sync event, or collaboration action will be accurate or timely.

For business users, we exclude all implied warranties, conditions, and terms to the maximum extent permitted by law, including implied terms of satisfactory quality, fitness for a particular purpose, non-infringement, availability, and accuracy.

For consumers, nothing in these Terms excludes statutory guarantees or remedies that cannot be excluded under UK law.

12. Limitation of liability and indemnity

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, wilful misconduct, breach of non-excludable consumer rights, or any liability that cannot legally be limited or excluded.

For business users, to the maximum extent permitted by law, KanbanBot and its owners, operators, affiliates, officers, employees, contractors, agents, and service providers will not be liable for indirect, incidental, special, consequential, exemplary, punitive, or lost-profit damages, loss of data, loss of goodwill, loss of business, business interruption, or cost of substitute services.

For business users, to the maximum extent permitted by law, our total aggregate liability for all claims relating to the Service will not exceed the greater of (a) the amount you paid to KanbanBot for the Service in the three months before the event giving rise to the claim, or (b) GBP 100.

For consumer users, we are responsible only for losses that are a foreseeable result of our breach or failure to use reasonable care and skill, subject to non-excludable law. We are not responsible for business losses where you use the Service for commercial purposes.

Business users agree to defend, indemnify, and hold harmless KanbanBot and its owners, operators, affiliates, officers, employees, contractors, agents, and service providers from claims, damages, liabilities, costs, and expenses arising from User Content, misuse of the Service, breach of these Terms, or violation of law or third-party rights. For consumers, this indemnity applies only to the extent fair and enforceable under applicable law.

13. Governing law and disputes

These Terms are governed by the laws of England and Wales, except where mandatory consumer protection law requires otherwise.

If you are a business user, the courts of England and Wales will have exclusive jurisdiction over disputes relating to these Terms or the Service, unless we choose to bring proceedings in another court with jurisdiction over you or your assets.

If you are a consumer, you may bring proceedings in the courts of the part of the United Kingdom where you live, and mandatory consumer rights may apply regardless of this governing law clause.

Before starting formal proceedings, you agree to contact us at support@kanban.online and give us a reasonable opportunity to resolve the issue informally, except where urgent legal relief is needed.

14. Changes, assignment, and contact

We may update these Terms from time to time. The updated version will be posted on this page with a revised effective date. If changes are material, we will provide notice where reasonably practical. Continued use of the Service after changes become effective means you accept the updated Terms.

You may not assign or transfer your rights or obligations under these Terms without our consent. We may assign or transfer these Terms in connection with a merger, acquisition, restructuring, sale of assets, change of control, or operation of the Service, provided this does not reduce mandatory consumer rights.

If any provision is invalid or unenforceable, the remaining provisions remain in effect. Our failure to enforce a provision is not a waiver.
